How Tags Make Your Tasks Smarter

In a construction project, countless pieces of information, tasks, and participants come together. To keep track of everything, you need structure – and smart tools. Tags are one of those small but extremely powerful features in PLANFRED.

What are tags?

Tags are freely definable labels that you can attach to individual plans, documents, tasks, or photos in PLANFRED. For to-dos, they help categorize content, improve filtering, and enable targeted evaluations later on. You can create as many tags as you like and adapt them to your internal structure, language, and workflows.

How do I use tags effectively?

Tags unfold their full potential when used intentionally to structure project information. Two typical real-world examples from everyday construction practice illustrate this well:

1.) Setting a grace period for tasks

On the construction site, tasks or defect corrections are not always completed on time. In such cases, documenting a grace period is essential – both internally and from a legal perspective.

This is where tags help:

  • Add the tag “1st grace period” when adjusting the due date of an overdue task.

  • You can filter by this tag and immediately see which tasks are currently in a grace period.

  • You can expand the tag system as needed, such as “2nd grace period” or “substitute performance.” This keeps your deadline management complete and transparent.

2.) Approval of completed tasks

Especially during on-site project management, it’s important to document who checked and approved which tasks.

Tags make this process very flexible:

  • Create tags like “approved site supervision” or “approved project management.”

  • As soon as you check a completed task on site and deem it free of visible defects, add the corresponding tag.

  • This creates a clearly traceable inspection path with as many levels as you need.

Once again, you stay fully flexible. You can adapt tags to your internal roles, responsibilities, or approval processes among your participants.

Conclusion: Small but mighty

Tags are a simple yet incredibly useful tool. They make your project content searchable, filterable, and traceable – helping you achieve more clarity, better communication, and greater legal security.
